Policies

Home > Management Mode > Send Notifications > Policies

From the Home page in Management Mode, administrators can select Send Notifications, then Policies, to open the Policies page. Clear policies and effective communication improve organizational efficiency and employee trust while supporting transparent, compliant operations.

Centralize Policy Documents and Reduce Miscommunication

SwipePoint's policy upload feature lets administrators keep leave, overtime, personnel, reward, and other policies on one platform. Employees and supervisors can review the latest version in the same place, reducing misunderstandings or omissions caused by scattered information and inconsistent versions.

Improve Communication Efficiency and Transparency

When a new policy is released or an existing announcement changes, administrators can use SwipePoint to notify selected recipients immediately. Timely, clear communication helps ensure employees learn about the latest rules and supports a transparent, trustworthy organizational culture.

Administrators can create categories that match the organization's needs, such as leave, business trip, and attendance policies. Organizing policy documents by category makes them easier to manage and helps employees find and review the information they need quickly.

Upload Attachments to Secure, Flexible Cloud Storage

SwipePoint provides cloud storage for policy attachments after the organization subscribes to the Premium Storage plan. Administrators can upload attachments by taking a photo, selecting an item from the photo library, or choosing a document. Cloud storage makes policies easier to maintain and update while reducing the risk of file loss through secure storage and backup.

Keep Rules Consistent and Easier to Follow

When every department uses the same version of a policy, employees can better understand the organization's rules and expectations. Publishing one consistent version strengthens employee acceptance and makes policies easier to apply in daily operations.

Confirm That Employees Have Read and Understood a Policy

Requiring employees to select Agree confirms that they have personally reviewed and understood the policy document. This reduces communication costs caused by misunderstandings or incomplete reading and provides a clear basis for following the policy.

Many organizations and industries have strict compliance requirements for personnel, attendance, rewards, and disciplinary policies. Administrators may need to demonstrate that employees were informed of and agreed to the relevant terms. The Agree action creates a clear electronic record that supports those legal and compliance requirements.

Clarify Responsibility and Build Organizational Trust

After an employee selects Agree, the organization has a clear record that both parties share an understanding of how the policy will be applied. This mechanism supports two-way communication, clarifies responsibility, and reduces disputes caused by unclear requirements.

Collect Records and Continue Follow-Up

The system records each employee's agreement time and status. Administrators can identify employees who have not yet confirmed a policy and determine whether further explanation is needed. They can then send reminders or provide additional guidance from the administration interface.

Improve Organizational Communication and Administrative Efficiency

Centralized distribution and agreement records replace time-consuming paper circulation, reduce repeated communication, and remove uncertainty about document versions. Administrators and employees can review the latest policy and its status in the system at any time, making administrative workflows more efficient.

Uploading and managing policies in SwipePoint reduces the effort required to organize and publish them. It also improves communication and implementation, helping the organization operate consistently and build its culture.
